Registration fees
All registration fees exclude 21% VAT

Individual Registration includes: full access to the entire FERMA Risk Management Forum, including the Welcome Reception, General Sessions, Exhibition hall, 2 lunches and coffee breaks.

Confirmation of registration
The invoice, which serves as confirmation letter will not be sent until full payment has been received. Invoices in electronic format will be sent to each participant upon receipt of the relevant payment. Printed invoices will only be sent if specifically requested.

Group Registration Packages:
Registration packages are available at preferential rates for partners and sponsors (prices exclude VAT). These rates are subject to the following conditions:

• Deadline to purchase packages: 04^th September 2026
• Packages are anonymous. Names of participants should be confirmed before 19^th September 2026. After this date name changes will be subject to an administrative fee of € 50,00 (excl. VAT).
• No reimbursement for unused registrations.
• 10% discount applicable for our partners (Diamond, Platinum, Gold sponsors)

Individual cancellations and refunds:
All cancellations and refund requests must be notified in writing to the registration secretariat by e-mail at regferma2026@lena.events en zal onderworpen zijn aan de volgende voorwaarden:

• Cancellations received by 18^th August 2026 are subject to an administrative fee of € 50,00 (excl. VAT).
• Cancellations received after 18^th August 2026 and no-shows will not be refunded.

Refunds will be processed after the Forum.

Visa applications
Some nationalities might need a VISA to enter the Netherlands. You may apply to NetherlandsWorldwide portal or contact your local Dutch Embassy or Consulate. Please make sure your passport is valid for at least 3 months after your intended departure date from The Netherlands. For more specific requests, please contact Lena Corporation S.A.M at regferma2026@lena.events

Early reservation of rooms is strongly recommended and rooms are allocated on a first come, first served basis.

Reservations must be made through the congress office, Lena Corporation S.A.M, to guarantee the quoted rates negotiated for the congress. Rooms must be booked online.

Rooms can only be reserved for a minimum stay of the two main nights, i.e. Sunday, 4 October and Monday, 5 October 2026. An appropriate invoice, which serves as confirmation document, will be sent after receiving the corresponding full payment. No vouchers will be delivered, and the guest must present, to the selected hotel reception, a valid document which exactly matches the name used for the booking. A credit card will be asked to cover individual extras. Additional nights pre and post Forum can be asked at the FERMA Forum Secretariat regferma2026@lena.events

• Check in before 15h00 is subject to hotel availability and needs to be notified to Lena Corporation S.A.M. Early arrivals will be noted on the rooming list, however these cannot be guaranteed without additional charges which will be notified by Lena Corporation S.A.M to the Client. To guarantee a room for arrival before 15h00, the night prior has to be reserved and will be charged at the hereby-agreed contracted rate per applicable room type.
• Check out after 12h00 is subject to hotel availability and needs to be notified to Lena Corporation S.A.M. In case of supplement this will be notified by Lena Corporation S.A.M to the Client.

Fees and cancellation policies applicable to every hotel:

• Voor elke uitgegeven factuur wordt 25 € (inclusief btw) administratiekosten aan uw reservering toegevoegd om de banktransactiekosten te dekken.
• Voor elke terugbetalingspolis wordt 30 € (inclusief btw) administratiekosten ingehouden.
• In geval van annulering/terugbetaling van 100% worden 25 € administratiekosten plus 30 € administratiekosten ingehouden.
• Naamswijziging is mogelijk tegen een administratieve vergoeding van 50 € (exclusief btw)

All prices are VAT Excluded and the breakdown will be calculated at the final step of your booking. In case of modifications in VAT established by the Dutch Government, Lena Corporation S.A.M reserves the right to inform and readjust accordingly. Credit card
The following credit cards are accepted: Visa, Eurocard/Mastercard and American Express. Please enter the credit card details in the appropriate section on the registration form or register online at https://ferma-forum.eu. Please be aware that payments by credit card are in security certificate mode.

Cancellation conditions for hotel rooms
Any change or cancellation of an individual hotel reservation must be sent in writing to Lena Corporation S.A.M. Please note that the above-mentioned cancellation conditions apply to individual reservations.

In general, the congress organisers shall only be liable for the delegates and their companions in cases of gross negligence or willful misconduct in the performance of their obligations under the congress event agreement. The congress organisers shall accept no responsibility or liability for events such as accident, theft or loss of property, etc. and the delegates and persons accompanying the same shall be responsible for their own insurance.

FERMA – Federation of European Risk Management Associations, its contractors and any attending media representatives may photograph and record video during the congress. Attendees acknowledge these activities and agree to allow any photography or recorded material to be used by FERMA in publications, on the FERMA website, and in marketing and promotional materials. Photographs are made available to FERMA FORUM attendees via various channels and may also be shared with the media. FERMA FORUM 2026 attendees waive all claims against FERMA for any liability resulting from these uses. Only officially contracted FERMA FORUM 2026 vendors and working journalists with FERMA approved press credentials will be permitted to photograph, record video and/or audio during sessions and/or the exhibit hall. Individuals who make a recording using personal video/audio equipment or other recording devices (i.e. cell phones, digital or film cameras or tape recorders) without prior permission from FERMA or without proper credentials will be asked to stop recording or using these devices immediately.
